Privacy Policy

Invoice Extractor (“the application”) is an internal automation tool operated by Appycodes. It reads a connected Gmail mailbox to collect invoice attachments and record their contents. This policy explains exactly what data it accesses, why, and how that data is handled.

What data the application accesses

When you connect a mailbox, you grant access through Google’s OAuth consent screen using the https://www.googleapis.com/auth/gmail.modify scope. Using that access, the application:

The application never sends email, never deletes email, and never modifies the content of any message. The only change it makes is removing the “unread” label from invoice emails it has already handled. It does not read messages that do not match the invoice keywords.

How the data is used

Attachment files and the invoice details extracted from them (vendor, invoice number, date, line items and totals) are used for one purpose only: to record invoices for the operator’s own accounting, optionally by appending them to a Google Sheet the operator controls. The data is not used for advertising, is not sold or shared with any third party, and is not used to develop, improve or train any generalized artificial-intelligence or machine-learning model.

Google’s Limited Use requirements

The application’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Where the data is stored

Downloaded attachments and extracted invoice data are stored on the operator’s own server. Once an invoice has been recorded in the operator’s Google Sheet, the working copies (the saved PDF and its extracted data) are deleted from the server. The original email remains in your Gmail mailbox; the application never removes it.

Data sharing

Data is not disclosed to any third party except Google, which processes the mailbox and spreadsheet on your behalf under its own terms. No other person or service receives this data.

Retention and how to revoke access

You can revoke the application’s access to your Gmail at any time from your Google Account under Security → Third-party access. Revoking access immediately stops all further processing. To request deletion of any data already stored on the operator’s server, contact debarshi.appycodes@gmail.com.

Changes to this policy

If this policy changes, the revised version will be posted at this address with an updated date above.
